How to send a fax after business hours

The form is finally signed at 9 p.m., the office supply store has closed, and the recipient wants it 'by fax, first thing'. With a fax machine you would wait until morning. From a browser you have two choices: send it now, or schedule it to arrive when the recipient opens. This sendafax.ca guide covers both, plus how time zones and statutory holidays across Canada affect when your fax lands.

Option 1: send it right away

Most fax machines and fax services answer around the clock, so a fax sent at night is usually received immediately and waits on the tray or in an inbox. Sending tonight also gives you a time-stamped delivery receipt showing it arrived before the deadline.

  1. Scan or photograph the document with your phone, or save it as a PDF on your computer.
  2. Open FaxToFax.com in any browser and sign in with your email and one-time code.
  3. Attach the file and add a cover page with your name, phone number and the page count.
  4. Enter the fax number and check it when it is confirmed before sending.
  5. Send, and wait for the status to show Delivered. If it shows Failed, it used no pages; check the number and try again, or switch to scheduling.

Option 2: schedule it for opening time

Some offices switch their fax machine off at night, and some prefer not to find a stack of faxes on the tray. In that case, schedule the fax. Prepare it the same way, choose a send time instead of sending immediately, and it goes out on its own. You can schedule up to 90 days ahead and cancel at any point before it sends.

Scheduling is also handy when you want something to arrive at a particular moment, for example a supplier order that should land just after the start of their business day, rather than buried under overnight faxes.

Time zones and holidays across Canada

  • Canada spans six time zones, including Newfoundland's, which is half an hour off the zones next to it. A 9 a.m. fax from Vancouver arrives at noon in Toronto and 1:30 p.m. in St. John's.
  • Statutory holidays differ by province. Family Day, Saint-Jean-Baptiste Day in Quebec and the August civic holiday are not observed everywhere, so check before scheduling.
  • Federal offices may be closed on days provincial offices are open, and the reverse.
  • For faxes to the United States, remember that U.S. holidays such as Thanksgiving fall on different dates from Canada's.

Receiving faxes after hours

Your own fax number works around the clock too. Faxes sent to you at night land in a private encrypted browser inbox and trigger an in-app or browser alert, so you can check them from your phone or wait until morning. Documents are never emailed. If your account is idle, it signs out after 30 minutes by default, so you will sign in again with a one-time code when you come back. Readers of sendafax.ca who work from home often keep the fax inbox open in a pinned browser tab during the day and rely on browser alerts in the evening.

FAQ

How to Send a Fax After Business Hours: questions

Will my fax arrive if the recipient's office is closed?

If their machine or fax service is on, yes. If it is switched off, the fax fails and uses no pages. Scheduling it for their opening time avoids that.

Can I change a scheduled fax?

You can cancel a scheduled fax any time before it sends. To change the document or time, cancel it and schedule a corrected version.

How far ahead can I schedule?

Up to 90 days ahead, which covers long weekends, holidays and planned absences. If you schedule several faxes before a vacation, note the send times somewhere so you can cancel any that are no longer needed.

Does a fax sent at night count as received that day?

Your delivery receipt shows the date and time it arrived. Whether the recipient treats it as received that day depends on their own rules, so check with them for formal deadlines.
