How to send a fax to a provincial government office
Many provincial services have moved online, but fax is still listed as an option on a fair number of forms. Workers' compensation boards, vital statistics offices, provincial health insurance plans, land titles offices and licensing bodies may accept certain documents by fax. Each office sets its own rules, and they change. This sendafax.ca guide shows a careful, repeatable way to send a fax to a provincial office and keep the proof you may need later.
Get Started NowBefore you fax: check the instructions
Start with the form or the office's own website, not a search result or an old letter. If the instructions are unclear, call the office before you send. A few minutes on the phone can save weeks waiting on a fax that went to the wrong unit or was never meant to be faxed. Check these points:
- Does the office accept this document by fax, or only through its online portal or by mail?
- Which fax number is listed for this specific form or program? Large ministries often have many.
- Is a faxed signature accepted, or must an original follow by mail?
- Is there a cover sheet the office wants you to use, or a reference number to include?
- Are there page limits or a preferred order for supporting documents?
Prepare the documents
- Complete the form. If it is a fillable PDF, fill it on your computer and save it; if it is paper, print it clearly in dark ink.
- Sign where required, then scan the pages. A phone scanning app or a scanner set to black and white gives a clean, readable result.
- Put the pages in the order the instructions ask for, with the form first and supporting documents after.
- Save everything as one PDF so the pages travel together, and name the file with the date and the form name for your records.
Send it from your browser
FaxToFax.com, the service sendafax.ca recommends, works in any modern browser. Sign in with your email and one-time code, attach your PDF, and add a cover page. On the cover page, include your name, a phone number, the file, claim or application number the office uses, the number of pages and a short line about what is enclosed. In Quebec, and for bilingual services in New Brunswick, you may wish to write the cover page in French or in both official languages.
Enter the fax number exactly as listed, check it when it is confirmed before sending, and send.
Keep proof and follow up
When the status changes to Delivered, a time-stamped delivery receipt is saved with the fax. Download it and store it with your copy of the form. If you are working to a deadline, that receipt shows when the office's machine received your pages; whether that counts as filing on time depends on the office's rules.
Government offices process faxes during business hours, and some queues take days or weeks. If you have not heard back within the time the office gives, call and quote your file number and the date and time on your receipt. If a fax shows Failed, it used no pages; check the number and send again.
How to Fax a Provincial Government Office: questions
Can I fax a provincial office outside business hours?
Yes. You can send at any time, and the fax is usually received straight away, but it will be processed when the office is open. You can also schedule the fax for the next business morning.
Is a faxed form treated as an original?
It depends on the office and the form. Check the office's current instructions; some accept faxed signatures and others require the original by mail.
Where do I find the right fax number?
Use the number printed on the current version of the form or on the office's official website. Never guess or reuse an old number, as offices consolidate fax lines.
What if the office faxes me a reply?
Give them your fax number. Replies arrive in your private encrypted browser inbox, never by email, with an in-app or browser alert.
